What you are actually paying for
Once you strip out the marketing, business email plans differ on four things and only four:
- Storage per mailbox. The single biggest driver of price. Google's Starter tier gives 30 GB pooled per person, its Standard tier 2 TB. That is a 65-fold difference for double the money, which tells you the email itself costs almost nothing.
- Whether an office suite comes with it. Google Workspace includes Docs, Sheets and Drive; Microsoft 365 Business Standard and above include the desktop Office apps. If you already pay for those separately you are buying them twice.
- Admin and compliance controls. Retention policies, eDiscovery, device management. Real requirements for a regulated business, dead weight for a three-person trade.
- Who you can call. An Australian provider with a local phone number is worth something the morning your mail stops flowing, and nothing at all if it never does.
Deliverability, uptime and spam filtering are effectively equivalent across all of these providers at this price point. Nobody is selling you better email. They are selling you storage, software and support.
GST, ABNs and what lands on your invoice
This is where Australian buyers get caught, because the providers handle it differently and none of them lead with it.
Microsoft states plainly that its published Australian prices exclude GST, so A$10.50 per user per month is really A$11.55 once GST is added, or A$138.60 a year for one mailbox on Business Basic. Google's Australian pricing page shows the amount in Australian dollars without stating GST treatment on the tile, so confirm it at checkout. VentraIP and Fastmail bill in Australian dollars.
The bigger question is which entity issues your invoice. Non-resident suppliers charge 10% GST to Australian consumers under the ATO's imported-services rules but generally stop once you give them a valid ABN and confirm you are registered for GST. Do you need business email hosting at all?
Two cases where the answer is no.
If your web hosting already includes mailboxes. Most Australian cPanel hosting plans include email on your domain at no extra cost. It is basic - webmail that looks like 2011, small quotas, no calendar worth using - but for a sole trader who checks mail on a phone it works. If you have fewer than five people and no compliance needs. Zoho Mail's free plan covers up to five users on one domain. The catch is real and worth stating: it is web-only access, with no IMAP or POP, so you cannot use Outlook, Apple Mail or most desktop clients. If your team lives in a browser, that is free business email. If anyone needs a mail client, you are on a paid plan.
Everyone else should pay for it. A free Gmail address on a business card costs you more in credibility than A$9.90 a month costs in cash.
Which one to pick
Choose Google Workspace if your team already works in Docs and Sheets, or if you want the least friction setting up staff who have used Gmail their whole lives. A$9.90 per user per month, and the 30 GB Starter tier is enough for most people for years.
Choose Microsoft 365 Business Basic if your business runs on Excel, Teams or Outlook. At A$10.50 ex GST it is line-ball with Google on price. Note that Basic is web and mobile Office only - if you need the desktop apps you are looking at the Business Standard tier, which Microsoft now sells bundled with Copilot at A$35.20 ex GST.

Do I need a domain name before I can set up business email?
